About the Role
OpenLoop is looking for a Provider Onboarding Coordinator to join our team remotely. We’re growing rapidly, in this role you’ll play a behind-the-scenes but critical role in ensuring that new 1099 healthcare providers are onboarded smoothly and efficiently. You’ll serve as the central point of coordination, tracking every step from initial tech access to final clinical sign-off, while providing guidance and support to providers throughout their journey.
What You'll Do
Coordinate onboarding for 1099/W2 providers joining weekly (approx. 60 per week).
Guide providers through the full onboarding process—step-by-step—ensuring nothing falls through the cracks.
Communicate consistently with providers via email and Slack to support, remind, and reschedule as needed.
Send calendar invites (Google Calendar), manage onboarding schedules, and coordinate with internal teams to ensure timely system access.
Submit IT tickets for provider access (Okta, email accounts, internal platforms).
Follow up with providers on outstanding items (e.g., clinical sign-off sheets), and maintain consistent documentation of progress.
Troubleshoot IT-related issues as they arise and coordinate with internal tech teams to resolve quickly.
Stay agile to changing systems and onboarding processes, adjusting communication and workflows accordingly.
Track onboarding progress using tools like Google Sheets, Planbase (scheduler), and ZohoDesk (support ticketing).

Who You Are
1+ year of professional experience in coordination, support, onboarding, or admin roles.
Strong organizational and time management skills—you can juggle 60+ moving parts without losing track.
Self-starter who takes initiative and doesn’t wait to be told what to do.
Strong written communication; able to follow up, nudge, and escalate when needed—with kindness and clarity.
Comfortable navigating and troubleshooting basic tech platforms and systems.
Able to adapt quickly to changes in process or technology (e.g., Okta rollout).
Confident and proactive—you’ll chase down answers, drive timelines, and keep the process moving.
Experience with Slack, Google Suite, Planbase (or similar scheduling tools), and ZohoDesk is a strong plus.
